Do you want to help make the world a better place with your knowledge of executive support? We’re seeking an

Executive Assistant (gn) for the Director of Europe and Eurasia

based in Berlin to support the Executive Director, Europe and Eurasia with a wide variety of tasks.

As an Executive Assistant at Open Society you will

  • Organize meetings, including scheduling, sending reminders and organizing catering, when necessary, and manage the Executive Director's day-to-day calendar, including making appointments and prioritizing the most sensitive matters

  • Maintain good relationships with existing networks in Berlin and across the regions

  • Provide administrative assistance, such as drafting and editing emails, memos, prepare communication on behalf of the director

  • Coordinate travel arrangements (both domestic and international) and create trip itineraries for administration

  • Perform contractual and finance related tasks for the in close cooperation with operational units

  • Use various software, including MS Office, and OSF’s contract, financial tracking, room booking and training management tools.

What we are looking for

  • Minimum 3 – 5 years of experience as Executive Assistant or on a similar capacity;

  • Demonstrated knowledge of the above listed tasks, focusing on strong suites in communication and workflow management;

  • Independent workstyle with a pro-active approach to handling daily tasks and responsibilities;

  • Ability to manage competing priorities in a currently continuously changing environment;

  • High fluency in German and in English both writing and speaking;

  • Commitment to continuous learning and growth in the areas of diversity, equity, inclusion, antiracism and social justice;

  • Commitment to listening and working with humility; ways of working that are respectful to all people; and that support space and voice for all diverse perspectives in our workplace.

Desirable (but not required)

  • Fluency in French;

  • Existing network of NGOs, advocacy groups in Berlin;

  • Basic project management skills
