Intro

What we are aiming for

Foundations for Ukraine is a global network that brings together philanthropic organizations to support Ukraine, with a strong focus on strengthening its civil society. The network provides a space for foundations to coordinate their efforts, collaborate on strategies, and share knowledge, so their support is more effective and aligned. By working closely with Ukrainian partners Foundations for Ukraine aims to address urgent needs while also contributing to Ukraine’s long-term recovery. We started to incubate the network in autumn 2024. After an initial phase of setting up principles and processes as well as testing formats for trust-building and learning, we are now shifting operations towards more programming, research and advocacy.

Our key ambitions until the end of 2027 are to:

  1. Build a strong, purpose-driven community around our mission
  2. Strengthen the shared knowledge base that supports coordinated action
  3. Develop meaningful (cross-sector) partnerships that amplify the voice of Ukrainian civil society in international fora

Who we are

iac Berlin is a Do & Think Tank for impact networks. We work with foundations, academia, public institutions, and locally rooted non-profit organizations to build alliances with social impact and to develop new forms of collaboration. We share our learning openly and contribute to a growing community of network builders. Founded in 2017 by the Robert Bosch Stiftung, iac Berlin currently hosts the secretariat of Foundations for Ukraine.

Who we are looking for

As we enter this next phase of additional programming, advocacy and further membership growth, we are looking for a Network Operations & Programs Manager to join our team and help stabilize and strengthen the operational backbone of our initiatives. You will be responsible for the day-to-day management of our network and programs, ensuring the smooth execution of events and projects, providing operational clarity, and supporting the Network Lead in translating strategy into clear operational workflows and processes. You will be integral in managing member relations and internal communications, ensuring that our initiatives run efficiently and effectively.

This is an 80% role (32 hours/week, contract until December 31., 2027, with the potential for extension).

Aufgaben

  1. Translating evolving strategies into actionable workflows and operational plans, adapting quickly to changing priorities.
  2. Supporting network members, ensuring they receive clear and timely communication and access to resources.
  3. Leading the operational logistics for key formats (such as forums, delegation trips, peer learning sessions) and ensuring that all activities are delivered effectively, even when formats or dates need to change.
  4. Maintaining up-to-date records and systems (e.g., membership databases, project management tools) with a focus on accuracy and functionality.
  5. Managing budgets and financial documentation, ensuring compliance with donor regulations.
  6. Supporting a collaborative, transparent, and responsible team culture, providing feedback and proposing improvements where necessary.

Anforderungen

  1. You have at least 4 years of experience in program coordination, network management, or operations with a focus on social change.
  2. You have a proven track record of managing complex, cross-border programs and navigating fluid, dynamic environments.
  3. You are a strong communicator and have experience with tools that support communication and knowledge management at different scales (Newsletters, Notion, Miro, shared calendars, etc.).
  4. You are highly organized, dependable, and comfortable working independently in a hybrid or remote team.
  5. You have a deep understanding of the challenges facing Ukraine and the region, and you are passionate about being part of the solutions.
  6. You are fluent in English and have professional proficiency in Ukrainian (spoken and written); additional language skills are a plus.
  7. You are willing to travel to Ukraine if circumstances allow.
